Wedding Planning and Coordinating

This is for the bride and groom who want a wedding professional to assist them and take care of details from the beginning planning stages through the day of the wedding. This service includes planning the wedding from start to finish, including coordinating the wedding and rehearsal. Assistance is provided in selecting the proper vendors and site, and with budgeting. Your planner is available to assist you as much or as little as you want and will provide guidance to make sure things stay on track and get accomplished with ease, saving you time, energy, and money. The following is what is also included in this service:

Provide a vendor list and accompany you to meet vendors you have selected to interview.
Provide venue selection assistance: locate, check availability, and set appointments to visit.
Offer design ideas.
Schedule appointments to meet vendors/site manager.
Have regular meetings to review status of planning.
Be present when you have to sign contracts if you wish.
Review contracts.
Help secure room block at hotels for guests.
Help with selection of invitations and favors, and give discount on purchase.
Help with putting the invitation ensemble together if you wish.
If calligraphy services are needed, bring envelopes to the calligrapher.
Stuff envelopes, stamp and mail invitations, if desired (costs for calligrapher and stamps will be paid by the client).
Send and track responses if desired.
Keep track of menu choices of guests (if menu choices have been given).
Give a final guest count to the caterer.
Take care of place cards for the reception.
Coordinate vendors and provide timelines.
Work with wedding venue and catering personnel
Reminders of the following details that need attention: guest list, buying of rings, registry, marriage license, appointments of hair/make-up, honeymoon planning,rehearsal dinner.
E-mail access to planner.
Unlimited phone calls to planner (within normal business hours).
Everything under Wedding Coordination and Directing is also included.

This service is for the bride and groom who wish to plan some of the wedding themselves and have already secured some vendors on their own. This service would then provide the following:

Budgeting advice and creation of a budget if one is still needed.
Vendor referrals and setting of appointments as necessary.
Review of contracts that client has gotten on their own, plus assistance with new contracts.
Site visit for ceremony and reception.
Wedding etiquette advice.
Review of all wedding details and vision of couple.
Progress meetings.
Assistance with invitations and discount on all purchases
Everything under Wedding Coordination and Directing is also included.

This service begins two months before the wedding, and includes the rehearsal and the day of the wedding. Not everything is listed; just highlights. We will make a good faith effort to do anything that must be done to have your wedding run smoothly, and be the wedding you have always wanted!

We will hold an initial meeting with you (approximately 2 hours at time of signing contract) to discuss the event to allow us to understand your visions of your special day, review your vendor contracts, and answer any questions you may have.
There will be subsequent meetings for further discussion as necessary.
If the wedding is being held at a place of worship, we will contact clergy and arrange a visit.
We will contact the reception venue and arrange a visit.
We will contact all vendors for an introduction and to send a time-line for the event.
We will work with you on reception site floor plans and seating.
At the rehearsal, we will meet with the family and bridal party with instructions for the ceremony, and assist the officiant or conduct the rehearsal.
Day of Wedding:
Ceremony:
- Arrive several hours before ceremony to do a check of the facility.
- Set up programs, pew bows, and unity candle if necessary.
- Meet Photographer and Musician and discuss procedures.
- Meet Florist and check that everything has been delivered (per conversation with Bride).
- Synchronize timing with Clergy and musician; Make sure wedding license is in hands of Clergy.
- Make sure Best Man and Maid of Honor have rings.
- Assist family with corsages, boutonnieres, distributing of flowers, and dressing if necessary.
- Review procedures and rules for processional and recessional.
- Arrange for return for picture taking.
- Check dressing areas, and clear flowers and pew décor if needed.
- Have emergency kit available for use the entire day.
Reception:
- Set up place cards, guest book, and gift table before everyone arrives.
- Make sure DJ/Band has the names and order of the wedding party for introductions.
- Check with the caterer as to table settings, cake table, decorations etc.
- Know where the restrooms are located.
- Coordinate with all vendors and provide timeline for the reception.
- Coordinate Garter Toss and Bouquet Toss with musicians/DJ.
- Prepare for departure of bridal couple and guests.
- Give vendors any final payments due that day.
- Pack up toasting glasses, cake knives (and anything else that is owned by the family) and place in family car.
